IDX Services

Welcome to IDX Services!  It is important to Bay East that our Members find the approval process effortless. We have streamlined our process to five simple steps. The Internet Data Exchange (IDX) gives MLS Participants and Subscribers the ability to allows consumers to search and view listings on your website. 

The MLS IDX data includes only public-facing listing information about Active, Pending, and Sold (from 2012 onward) listing data. 

It is important to know that the IDX data is not the same as a full MLS search done by an Agent.

IDX Compliance Approval Process
IDX Approval Process

Step 1: Choose a vendor who can service your IDX needs.
Step 2: Complete the IDX Participant/Subscriber Agreement Submission form & submit to vendor.
Step 3: Vendor completes their portion of the application and the application can then be submitted online.
Step 4: Bay East will review submitted application.
Step 5: Bay East will review your website to ensure compliance of the MLS rules.
Step 6: If the website is not in compliance, Bay East will notify you and your IDX vendor of the changes necessary for approval.
Step 7: If the website is in compliance, Bay East will notify the member and IDX vendor of approval.

Is there a cost?

There is no additional cost to a Bay East MLS member to receive an IDX feed; however, you are responsible for the fees if the vendor you choose charges for their services. If you choose to use a vendor that is not found on the approved vendor list the new IDX vendor will have to pay an annual grant of licensee fee.

Approved IDX Vendors

The following companies are licensed with Bay East Association of REALTORS® and are familiar with our Internet Data Exchange (IDX) policies. They are authorized to develop IDX websites, and are committed to working within our IDX guidelines and the MLS Rules and Regulations. Bay East Association of REALTORS® does not specifically recommend or endorse these companies. You may choose any developer to work on your site, whether or not they are on this list. However, all new IDX developers must apply completing a data access agreement with Bay East Association of REALTORS® in order to receive data downloads. If your vendor’s name is not on the Approved IDX Vendors List, the vendor will need to complete the IDX Agreement and the member who would like to use the new vendor will need to complete the Bay East IDX Application Form.

IDX data approval requires that your website and listing data display complies with the rules.

  • All IDX listing displays shall identify the name of the listing firm and the name of the listing.
  • Your website must refresh all MLS data at least once every 12 hours.

  • Must provide clear identification of the name of the brokerage firm under which you operate.

IDX Compliance Approval Process

Welcome and thank you for your interest in becoming an approved IDX vendor with Bay East. To become an approved vendor you will need to complete the IDX Agreement and the member who would like to use the new vendor will need to complete the Bay East IDX Application Form.

*An annual grant of licensee fee will need to be paid by the new vendor.

Steps to becoming an approved Bay East IDX vendor:

Step 1: Thoroughly review and complete the IDX Agreement.
Step 2: A demo of the product needs to be coordinated.  Once a meeting time has been confirmed, the vendor sends virtual meeting information to Bay East.

  • If in the demo process, items come up which need to be corrected by the vendor, Bay East waits for notification that the issues have been corrected.
  •  If everything looks good, we move to step 3.

Step 3: Grant of the access fee is paid.
Step 4: Bay East creates Bridge API credential for the vendor to access the data.
Step 5: Bay East will email the credentials/logo/disclaimer/copy of the executed agreement to the vendor.

Once you are ready to request approval, please email IDX@BayEast.org.

IDX Rules

IDX data approval requires that your website and listing data display complies with the rules.

Required Disclaimer & Logo

Required disclaimer and logo information (this info needs to be updated yearly to reflect the current year). When each are clicked the information for both will appear.

Bay East requires the IDX Logo & IDX Disclaimer to be placed on all IDX websites for members.

Broker participants and R.E. subscribers shall indicate on their displays, in a manner readily visible to consumers but not less than 7pt type, the following:

Step 1: Complete all required fields and obtain all necessary signatures on the IDX Participant/Subscriber Agreement Submission form. Page one is completed by the member, page two is completed by the approved vendor.

Submit Vendor IDX Agreement

Once you have completed your IDX Vendor Agreement form and your Bay East client has completed the IDX Application, please email both forms to IDX@BayEast.org.

Monthly Client List

Bay East has made it easier for our approved vendors to submit their monthly client report. We request that you submit this to us prior to the 5th of each month. Monthly IDX Client Report Upload.

Is there a cost?

For a new IDX vendor an annual grant of licensee fee will need to be paid by the new vendor to Bay East.

IDX Q&A

What does IDX mean?

“IDX” stands for Internet Data Exchange.

MLS IDX Rule 12.16 Use of Listing Information on Internet. [Also known as Internet Data Exchange (“IDX”)] “Internet Data Exchange” (“IDX”) is means by which listing brokers permit limited electronic display of their Active, Pending and sold listing data, in accordance with the IDX rules set forth herein, by other participating Broker Participants and R.E. Subscribers via the following authorized mediums under said Broker Participants and R.E. Subscribers control: websites, mobile apps and audio devices. As used throughout this policy, “display” includes “delivery” of such listings.

I belong to a different MLS, can I still apply for a Bay East IDX Feed?

IDX is an MLS member benefit and provided to members at no cost. To be eligible for IDX services, you must be a member of the Bay East MLS. For more information about joining the MLS, please contact Member Services at 925.730.4060.

What does it mean to have an IDX Website?

Having an IDX website simply means you have an approved website that displays residential listing from the Bay East MLS.

How do I get my website built and listings from the MLS to display on it?

You will need to first shop for a vendor who can provide these services for you. We have an Approved Vendor List you may find helpful. If the vendor is not on the approved list, they will need to go through the Vendor Approval Process. The process can be found in the “Vendor IDX Corner”.

What is the cost to have IDX services for my website? Is this service included as part of my membership dues?

IDX is an MLS member benefit and provided to members at no cost; however, you are responsible for the fees if the vendor you choose charges for their services. If you choose to use a vendor that is not found on the approved vendor list the new IDX vendor will have to pay an annual grant of licensee fee to Bay East.

Is it required that I use an approved IDX vendor to manage the IDX feed to my website?

Yes, per the MLS IDX rules only an approved Bay East vendor can provide IDX services. If not on the approved list, a vendor can apply to become an approved IDX Vendor with Bay East.

What do I do next once I receive the Bay East IDX application from my vendor?

Page 1 of the application is required to be completed and signed by agent and broker, and page 2 is required to be completed by the IDX vendor.

Who do I submit my completed IDX application to?

The IDX Participant/Subscriber Agreement Submission form must be completed by Agent, Broker and approved vendor. Once all required fields are completed and all necessary signatures have been obtained, submit the form online.

How long does it take for my website to be approved by the Bay East?

Once the application has been submitted, websites are typically approved within 2-4 business days.

I need to change my website address (URL), do I have to get approval to do this?

A new IDX application is required when a website address (URL) is changed.

I am transferring broker offices, what happens to my existing IDX account?

It is required to complete and submit a new IDX application with the signature approval of your new Broker.

May I have multiple IDX websites?

Yes, you may have multiple websites. Each application allows up to 2 website addresses when applying.

What do I do if my vendor can no longer provide me IDX services?

Contact the Bay East IDX Department at IDX@BayEast.org and we will assist you with your IDX services options.

What is the cost to become an approved IDX vendor with Bay East?

IDX vendors are required to pay a grant of licensee fee annually to Bay East.

What are the main requirements that should be displayed on my website?

We have created a helpful IDX Website Compliance Check List to guide you.

What does it mean if I receive a pending notice regarding my IDX application?

A pending notice means that Bay East has reviewed your website and items are missing. Bay East will work with you and your vendor to ensure your website is compliant.

What happens after I receive an approval notice for my IDX application?

Approval notices are sent to agents and vendors indicating approval for the vendor to allow the IDX feed from the MLS to flow into your website. Listings will now display on your website.

Are there IDX vendors that provide mobile app services?

Yes, you will find vendors who provide mobile app services on the Bay East Vendor Approval List.

Are there IDX vendors that provide only plug-in services?

Yes, you will find vendors who provide plug-in services on the Bay East Vendor Approval List.

Am I required to have my DRE number on my website?

Yes, your website must include your DRE number and state of licensure. For example: CA DRE# 12345678

Should a disclaimer and a Bay East logo display on my website?

Yes, Bay East requires the IDX logo & IDX disclaimer to be placed on all IDX websites for members.

Bay East MLS Rules and Regulations, section 12.16.s states the following:

s. Disclaimer.Broker Participants and R.E. Subscribers shall indicate on their displays, in a manner readily visible to consumers but not less than 7pt type, the following, or substantially similar, notice:

When listings are displayed on my website do I have to provide attribution information?

Yes, MLS IDX Rule 12.16(e) states all IDX listing displays shall identify the name of the listing firm and the name of the listing agent in a manner designed to easily identify such listing firm or agent. Such identification shall be in a reasonably prominent location and provide clear, conspicuous written or verbal identification of the name of the listing firm and listing agent. Displays of minimum information (e.g. a one-line or thumbnail search result, text messages, “tweets”, etc. of two hundred (200) characters or less) are exempt from this requirement but only when linked directly to a display that includes all required disclosures. Audio delivery of listing content is exempt from this disclosure requirement only when all required disclosures are subsequently delivered electronically to the registered consumer performing the property search or linked to through the device’s application.

Is it required to include my office name or firm name?

Yes, MLS IDX Rule 12.17 Website Name and Status Disclosure states MLS Participants’ firm websites shall disclose the firm’s name and state(s) of licensure in a reasonable and readily apparent manner. Websites of Subscribers affiliated with a Participant’s firm shall disclose the firm’s name and the Subscriber’s state(s) of licensure in a reasonable and readily apparent manner.

Do I have to use an IDX vendor on the Bay East approved vendor list?

Yes, the IDX vendor is required to be an approved vendor. If your vendor is not on the approved IDX vendor list, the vendor has an option to apply to become a Bay East IDX Approved Vendor.

My web developer is not on the Bay East Approval list, what are my options?

If your web developer is not on the approved IDX vendor list, the vendor has an option to apply to become a Bay East IDX Approved Vendor.

My web developer only wants to provide service to me, is this allowed?

Yes, your web developer would need to apply to become a Bay East Approved Vendor.

What MLS data is included in the Bay East IDX feed?

The Bay East IDX feed includes listing data from Paragon MLS and MLSListings.
